Guidelines for OVRO-LWA Memos
- Anyone may submit a memo on any subject, but memos not
relevant in some way to the Low Frequency Array at Owens
Valley Radio Observatory are discouraged. Memos
discussing scientific issues in low frequency radio
astronomy or documenting the hardware and software of the
OVRO-LWA are especially welcome.
- Memos are not subjected to any kind of review before
posting. Readers should be aware that they may contain
errors, and they may express opinions that are
controversial. They should not be assumed to be
approved by Caltech or the OVRO-LWA project management.
- Once posted, a memo cannot be revised or updated.
This is to facilitate referencing of the memo in later memos
(here or elsewhere) or in journal articles or conference
papers. A reader of the citing document must be able
to get the memo unchanged from its state when cited.
In this sense, the memo is like a published paper.
However, an author who wants to revise or correct a memo has
several options.
- Create a list of errata as a PDF file and email it to
the memo administrator*. A link to that file
will be added to the memo's listing in the index.
- Withdraw the memo by notifying the memo
administrator* by email. The memo will remain
posted, but its status will be marked "withdrawn" in the
index.
- Submit a new memo. If desired, it can be
substantially the same as the original memo but with
revisions or corrections; it can have an identical
title. It will get a new number in the series.
The old memo will remain posted. If the author
requests it, the old memo's listing in the index can
include a link to the new memo marked "see also" or
"superceded by" or something similar.
- Memos criticizing earlier memos or proposing alternative
designs or methods are allowed. If the author of such
a memo requests it, the index entry of the prior memo can
include a "see also" link to the new memo. However,
only the original author can request that it be marked
"withdrawn" or "superceded".
- If a memo names multiple authors, the person submitting it
certifies by doing so that he/she has the permission of all
authors. Subsequent requests for markup of the index
will be accepted from any author and it will be assumed that
all authors agree.
- Memos are numbered sequentially in the order of their
submission. A old document may be submitted and should
be dated according to when it was written.
Consequently, the memo numbers may not be chronological.
- Submission procedure: Assign the next
unused number from the index
to your memo. Download this cover
page template and edit it by replacing all text of the
form $...$ with the appropriate information [number, title,
author(s), date]. Prepend the cover page to your memo,
and convert the entire document to PDF. The cover page
is not numbered; the memo itself should begin on page
1. Send the file to the memo administrator* by
email. (If you already have the memo in PDF and do not
have a way to prepend the cover page, submit both
files.) In the unlikely event that the memo number you
have assigned has already been used (because another memo
was submitted before yours but has not yet been posted), you
will be notified by email and asked to revise the cover
page.
